What inventory software has to do
Inventory software exists to make the number in the system match the number on the shelf, and to tell you when to reorder. Most products list the same modules. What differs is how many places the same item has to be edited, and how stock behaves when you have more than one location.
Test 1: one item master
Purchasing, sales, POS and stock should read one item record, with variants and price lists. Ask to see an item created once and used in a purchase, a sale and a transfer. If items are duplicated across modules, counts will drift.
Test 2: batches, serials and expiry
If you sell food, medicine, cosmetics or electronics, ask how batch, serial and expiry tracking works at receiving, picking and sale, and how an expiring batch is flagged. Bring a real scenario, such as a recall of one batch.
Test 3: multiple locations and transfers
Ask how stock moves between shops, godowns and branches, who approves a transfer, how goods in transit are shown, and how an adjustment or write-off is recorded with a reason. The goal is a trail that explains every change in stock.
Test 4: valuation and accounts
Stock value flows into your accounts. Ask which valuation methods are supported, whether the method matches how your accountant values stock, and whether purchases and sales post to the ledger automatically or must be exported.
Test 5: billing, POS and the IRD
If you sell at a counter, check how invoices are issued, how VAT is applied and how returns are handled. Ask whether billing meets the IRD's requirements for your registration and confirm current rules with the IRD or your tax adviser.
Counting, reorder and cost
Ask how a stock count is done (barcode scanning, mobile), how variances are posted, and how reorder levels trigger purchase suggestions. Compare total first-year cost including set-up, item import, devices and training.
Questions to put to every vendor
Use the same questions with each vendor so the answers are comparable.
- Create one item and use it in a purchase, a sale and a transfer.
- Show a batch recall from supplier to customer.
- How are transfers approved and in-transit stock shown?
- Which valuation methods are supported, and do they post to the ledger?
- How is a stock count done and variance posted?
- What does year one cost in total, including item import and devices?
